AI estimating software for a small contractor: what it can read off the drawings, what only your own rates can supply, and the one test that applies to it as to any estimator

Updated

AI estimating software is sold as an estimator that reads the drawings and writes the number, and a small contractor deciding whether to pay for it needs to separate what such a tool can honestly do from what it cannot. It can read: quantities from a drawing, areas, lengths, counts, which is takeoff, and it can look up published unit prices, which is a cost book. It cannot know your framing crew's rate, your concrete supplier's quote this week, your waste, or the site conditions the drawings do not show. This page sets out that line, the failure that follows from crossing it, and the one test this site applies to every estimator, free, paid or AI: does it show the arithmetic from your own figures, with site work, contingency and markup as visible lines. The free construction estimating software guide on this site applies the same test to the free tools.

What AI estimating software can honestly do: takeoff and lookup

Reading a set of drawings and producing quantities is work a tool can do well and a person does slowly: wall lengths, floor areas, roof areas with the slope factor, door and window counts, linear feet of footing. That is takeoff, and a tool that does it accurately from a clean drawing set saves the hours the estimate used to start with. Attaching a published unit price to each quantity is the second thing it can do, and the result is a cost-book estimate: quantities times national or regional averages. The Census Bureau's construction spending series, linked below, is an example of the kind of published figure such tools draw on, and an example of why it is not your price.

What it cannot know: your rates, your quotes, your site

Your framing crew's cost per square foot, the price your supplier quoted for 6.6 yards on Thursday, the waste your crews actually produce, the rock the geotechnical report mentions and the drawings do not, the access that needs a pump: none of it is in the drawings or the cost book, and an estimate that does not carry it is an estimate of somebody else's job. The failure is predictable: a cost-book estimate wins the job at a price the contractor's own rates cannot deliver. The honest use of AI estimating software is takeoff and a first draft, with every rate replaced by yours before the number leaves the office.

The one test: the arithmetic on the page, from your figures

This site applies one test to any estimator: enter your own cost per square foot and rates, and the tool must show the estimate as lines, with site work, contingency and markup visible, so the contractor can see what each is and change it. On the worked job that is $449,075 with the three lines shown. An AI tool that produces a single number with no lines fails the test whatever read the drawings, because the contractor cannot check it, cannot explain it to the owner, and cannot bill against it. The construction cost estimator on this site passes the test by design: it computes on the page from the figures typed in and prints the lines.

Where the estimate goes next, and what the tool has to hand over

An estimate that wins becomes a budget, a schedule of values and a set of draws, and a tool that produces the estimate and cannot hand over its lines to the tracker and the pay application has produced a number, not a job. Ask any AI estimating vendor for the export: the lines with quantities, rates and amounts, in a form the budget can be built from. The AIA pay application is the form those lines will eventually bill on, and FAR part 32, linked below, is the public model of the financing they are paid under. DrawScheduleWorks Pro takes the estimate's lines as the budget and bills the draw from them, whatever tool produced the takeoff.

Questions people ask about AI estimating software

Can AI estimating software produce a construction estimate?

It can produce a takeoff from the drawings and a cost-book estimate at published prices. It cannot know your rates, your supplier's quote or your site, so the honest use is a first draft with every rate replaced by yours.

What is the test for any estimating software?

Enter your own cost per square foot and rates and see the estimate as lines with site work, contingency and markup visible. A single number with no lines cannot be checked, explained or billed against.

What should the tool hand over when the estimate wins?

The lines: quantities, rates and amounts, exportable so the budget, the schedule of values and the pay application can be built from them. An estimate that cannot be exported as lines is a number.
