Contract sum with change orders, percent complete against it

The draw starts from the contract sum as it stands, original plus approved change orders, and the percent complete to date is the schedule of values rolled up, each line's percent weighted by its value. The work completed to date is that percent of the contract, and it is shown so the owner can check it against the schedule line by line.

This period is to date less previously billed, plus stored materials

Every earlier draw comes off the work to date to give this period's work, and materials delivered and stored on site but not yet installed go on top as their own line. The tool takes the previously billed percent as its own input rather than a running total, so a revised earlier draw does not carry an error into every draw after it.

Retainage held, the payment due, the balance to finish

Retainage at the contract's rate comes off this period's work and stored materials together, and what is left is the current payment due, the last line on the draw. The balance to finish, including the retainage held to date, sits beside it so the owner and the lender see how much of the contract is still to be billed. Under it go the signatures and whatever waiver the contract requires.

How do I get the percent complete for the whole contract?

From the schedule of values: put a percent complete on each line, multiply by that line's value, add the results and divide by the contract sum. That weighted figure is the percent complete to date the tool asks for; a plain average of the lines over-bills the cheap lines and under-bills the expensive ones.

Is retainage taken on stored materials?

Under most contracts, yes, at the same rate as the work, and the tool applies the rate to this period's work and the stored materials together. Some contracts hold a different rate on materials or none at all; if yours does, work the materials as a separate draw at their own rate and add the payments due.
