Construction project billing software has to do the one thing an ordinary invoice cannot: bill a job in draws against a schedule of values, with each draw being the work completed to date less what was billed before, stored materials on top, and retainage held until the end. An invoice for a construction job that is not built that way gets rejected by the owner's lender or the general's accountant, and the month is lost. The contract sum with change orders, and percent complete against it
The draw starts from the contract sum as it stands, original plus approved change orders, because a draw against the original sum on a job with three change orders under-bills every line. Percent complete to date is the schedule of values rolled up, each line weighted by its value, and the work completed to date is that percent of the contract.
This period is to-date less previously billed, plus stored materials
What was billed on every earlier draw comes off the work to date to give this period's work, and materials delivered and stored on site but not yet installed go on top as their own line, because the supplier has to be paid before the wall goes up. The tool asks for both as inputs so a revised earlier draw does not break the running total.
Retainage held, payment due, balance to finish
Retainage at the contract's rate comes off this period's work and stored materials, and the current payment due is what is left, the last and largest figure on the draw. The balance to finish, including the retainage held, sits beside it so the owner and the lender see how much contract is still to be billed. The paid plan keeps every draw against the project.

The project and the contract sum with approved change orders, the period, the work completed to date and previously billed, this period's work, stored materials, retainage held on this draw and to date, the current payment due and the balance to finish, with the contractor's signature and whatever notarisation or lien waiver the contract requires. The contract sets it, and the tool applies whatever rate you enter. Ten percent is common on private work in the worked example, many contracts reduce it at half completion, and several states cap retainage on public work or require it to be released within a set time of completion.
