A schedule of values per sub, and percent complete against it
Each sub's contract is broken into the lines of work it covers, each line with its value, and the sub's monthly draw is the percent complete on each line weighted by its value. Software that tracks subs by their invoices instead of their schedule of values has no way to check whether a sub is ahead of the work, which is the whole risk.
This period's work is to-date less previously billed
The sub is paid for the work completed to date less what was billed on every earlier draw, plus any materials stored on site and not yet installed. That subtraction is the line the suites get wrong when a draw is revised, and the reason the tool asks for the previously billed percent as its own input rather than trusting a running total.
Retainage held on every draw, released at the end
The contract's retainage comes off each draw, work and stored materials alike, and accumulates until completion or the point the contract says it reduces. The tool shows the held amount as its own line so the sub sees what is coming back and the general sees what is covering the punch list. The paid plan keeps every draw against the project.
